Keep a record of new Drive file permissions
When a file is shared, capture the permission change in Airtable for a simple access review trail.
Trigger
File Shared (Permissions Added)
Triggers when new sharing permissions are granted to a file or folder. Uses Drive's `changes.list` endpoint with inline `permissions` in the `fields` mask so each change carries the file's current permission set provider-atomically. We diff that against `seen_permission_keys` to identify newly added grants. Drive page tokens are the primary cursor; if Drive rejects a stored token, the trigger raises `PollingTriggerError` without clearing state rather than silently re-baselining and dropping events. Limitation: truly ephemeral permissions (added and revoked between two polls without any other file modification in between) are not detected. Drive Activity API would catch those but requires an additional OAuth scope and a different payload contract.
Action
Create a record
Creates a new record in a specified airtable table; field values must conform to the table's column types.
Why this helps
New sharing access is easy to overlook when you are not watching Drive changes closely.
- Make newly granted permissions easier to review later.
- Keep a searchable record of relevant Drive sharing changes.
- Avoid checking Drive manually for every access update.
Setup
Build it in a few focused steps.
- 1Connect Google Super and Airtable once in the Notis portal.
- 2Create an automation in Automations, New Automation, and give it a name.
- 3Tell Notis to create an Airtable record with the available file and permission details when a file is newly shared.
- 4Pick File Shared (Permissions Added) as the trigger and choose where run reports should go.
- 5Test by sharing one real file and checking the Airtable record.
Questions about this workflow
Does this record every existing Drive permission?
The trigger detects newly granted permissions. It is intended to capture changes, not create a complete inventory of existing access.
Can I use it to audit a particular folder?
Describe the relevant files or folder in your instruction if the event data supports that distinction, and verify with a real example.
