Welcome new Drive collaborators by postcard
A newly shared project folder can prompt a simple, thoughtful welcome by physical postcard.
Trigger
File Shared (Permissions Added)
Triggers when new sharing permissions are granted to a file or folder. Uses Drive's `changes.list` endpoint with inline `permissions` in the `fields` mask so each change carries the file's current permission set provider-atomically. We diff that against `seen_permission_keys` to identify newly added grants. Drive page tokens are the primary cursor; if Drive rejects a stored token, the trigger raises `PollingTriggerError` without clearing state rather than silently re-baselining and dropping events. Limitation: truly ephemeral permissions (added and revoked between two polls without any other file modification in between) are not detected. Drive Activity API would catch those but requires an additional OAuth scope and a different payload contract.
Action
Send Postcard
Tool to send a postcard via u.s. mail with specified recipient, sender, and front/back images. use after confirming recipient addresses and design urls. example: send postcard(to name='john doe', ..., front image='https://...', back image='https://...')
Why this helps
New collaborators may receive access to a folder without a personal welcome or clear next step.
- Turn a new folder sharing event into a prompt for a personal welcome.
- Review the added collaborator before preparing a postcard.
- Use approved front and back images for the mailing.
Setup
Build it in a few focused steps.
- 1Connect Google Drive and Docupost once in the Notis portal.
- 2Create an automation in Automations, New Automation, and name it for collaborator welcomes.
- 3In one instruction, describe which folder shares merit a welcome and provide how to confirm the recipient address and approved front and back image URLs before sending.
- 4Pick File Shared (Permissions Added) as the trigger and choose where run reports should go.
- 5Test with one real folder share and confirm the collaborator, address, and postcard images before sending.
